Administrative Coordinator

Birth Roots

Summary: Birth Roots, a local non-profit, is currently seeking an Administrative Coordinator to support day-to-day operations in our Portland office. We are looking for an organized, detail-oriented, self-starter that has experience with and advanced knowledge of general office management including but not limited to: QuickBooks, Microsoft Suite and cloud-based office software. Strong interpersonal and communication skills are needed to interface with our clients and work collaboratively in a small office.  


About Us: Birth Roots is a Portland based, small nonprofit that facilitates community supported parenting from age 0 to 3. The mission, message, and model of Birth Roots is centered around transforming the way we care for new families during the particularly vulnerable phases of early parenthood. Birth Roots facilitates this transformation by providing an innovative model of community-based education and support, beginning in pregnancy and continuing throughout early parenting. We strive to prioritize instincts and intuition while helping families ‘find their flock’ and support network.


Representative Responsibilities

·      Manage class enrollment and waitlist software

·      Coordinate bills, disbursements, payroll, bookkeeping, and revenue processing

·      Answer phones and manage incoming email

·      Executive-level calendar management for evolving organizational and staff calendar

·      Update website to reflect current programming schedule 

·      Provide support for agency fundraising events 

·      Coordinate volunteers and manage alumni database

·      Oversee condition of community and office space to ensure that it is ready for classes and stocked with supplies. 


As a small organization, all staff are considered critical to fulfilling Birth Roots’ mission. Representative tasks can change from week to week and are not limited to the above list.


Qualifications: Your demonstrated experience, high emotional intelligence, adaptable skill set and strong communication skills are more important than your education. You have knowledge of non-profit culture and are able to sensitively interact with and support Birth Roots clients, as many are at the most vulnerable time of their lives when contacting us. You are able to work independently to problem solve day-to-day issues, prioritize tasks, work with deadlines and identify opportunities for efficiency to optimize office operations. You easily triage tasks when there are competing demands on your time and you know when to ask for additional support when needed. 


Supervision: This position will report directly to the Executive Director. This position also involves working closely with the two co-founders of Birth Roots and requires coordinating and collaborating on day-to-day tasks.


Compensation and Benefits: This position is offered for 30 hours a week at a salary of $18 an hour. Although we are unable to offer employee benefits, Birth Roots does offer flexible, family-friendly scheduling options.
