To begin the next exciting chapter of the organization’s innovative programs and growth, SPACE seeks a strategic, forward-thinking colleague to assist in the management of nonprofit operations. Working alongside the Executive Director, the new Managing Director will advance SPACE’s ambitions as a multi-disciplinary, inclusive, and conceptually-rigorous venue supporting arts, artists, and ideas. The right candidate for the Managing Director will preferably have 2-4 years of experience of higher level administrative work (arts and nonprofit ideal, not but required) spanning development work, nonprofit financial savvy, creating and working with budgets, strong interpersonal skills, fluency in arts marketing and communications, and managerial experience.

This new position will collaborate with the Executive Director to oversee the financial management of the organization. The Managing Director will support the Executive Director and Board of Directors as they seek to build sustainable financial support for the organization’s building improvements, programming initiatives, and long-term financial stability.

This position oversees key aspects of the technical, staffing, and financial responsibilities of a growing arts nonprofit. The Managing Director will be responsible for a share of regular bookkeeping, donor and prospect database management, staff management, development work, and community outreach.

Key Responsibilities:

FINANCIAL OVERSIGHT

  • Provides support to the Executive Director in overseeing the financial management of the organization with Quickbooks accounting, financial projections, budgeting, and work with the Finance Committee.
  • Reports on and maintains nonprofit operations by maintaining data, communications, and regular financial and gift reporting. Assists in the management of restricted funds, bill paying, 990 preparation, funder reporting, and other relevant financial activities.  
  • Contribute to the development of annual business plans, budgets, development research, and operating models for earned revenue of the organization. Develop and oversee income-generating revenue stream through facilities rentals.
  • Ensures the Executive Director, Board, and Staff are appropriately and adequately prepared to cultivate, solicit, and steward donors through the sharing of development research by maintaining internal databases and producing briefing documents and proposals for new outreach, solicitation, and acknowledgement.
  • Works in cooperation with the Executive Director, the Board of Directors, and Development Committee to establish strategies for support from foundations, businesses, and individual donors, assisting with grant applications and funder solicitations as needed.
  • Develops innovative strategies for donor engagement in collaboration with the SPACE staff and board.

ORGANIZATIONAL MANAGEMENT:

o Regular one-on-one meetings with direct reports (Membership & Communications Manager, Outreach Coordintor, Lead House Manager)

o Define and monitor goals and objectives annually to ensure clear roles and responsibilities and maximize individual growth & productivity

o Provide staff coaching and support including assisting the Executive Director in human resources work and contributing to staff performance reviews.

o Monitor staff hours, ensuring the use of vacation, holiday, and comp time

o Facilitate staff meetings and regular assessment of programs with staff

o Provide onboarding materials to new staff, board, interns and volunteers, familiarizing them with the organization's history, programs and policies

o Coordinate with Outreach Coordinator and Lead House Manager in overseeing event coverage and volunteer shifts for public events.

Experience and Skills Required:

-       Two to four years experience in nonprofit or business operations/development, preferably in the arts.

-       A Bachelor’s degree; advanced degree and/or study in relevant graduate or certificate programs desirable. Equivalent combination of education and experience will be considered.

-       Demonstrated passion for a field in the contemporary arts.

-       Comprehensive knowledge and experience with budgeting and analysis.

-       A meticulous attention to detail; strong logic and analytical skills in overseeing large volumes of information or data.

-         -    Excellent interpersonal skills; able to supervise and manage staff, individually and as a team.  

-       Clear, persuasive, and accurate writing/editing skills as well as demonstrated excellence in interpersonal communications.

-       Computer and technical experience with databases, Mac OS, Microsoft Word, Google suite, Quickbooks or equivalent accounting software, web content management, and bookkeeping.

-       Experience with fundraising and knowledge in best practices for financial/grant reporting and/or donor management.

-       An experienced team player who works to foster a diverse, equitable, collaborative, and fair workplace.

Job Details:

SPACE’s Managing Director is a full-time position located in Portland, Maine. Some weekend and evening work may be required. Communication with donors or staff may be required outside of normal business hours or during SPACE’s busy event schedule.
